Booking Your Trip

How do I book a trip with Good Karma Trekking?

You can book your adventure in three easy ways:

  • Online: Use the ‘Book Now’ button on each trip page on our website.

In Person: Visit our office at Banasthali 15, Ropeway Sadak, Kathmandu, Nepal.

What is the required deposit?

A non-refundable deposit of $200 USD is required to confirm most bookings. Some specific trips, like Bhutan packages, may require a higher or immediate deposit due to permit requirements. Please check individual trip notes for details.

When is the final payment due?

The remaining balance for most tours is due 30 days prior to your departure date. For Bhutan packages, the balance is due 120 days prior to departure.

What payment methods do you accept?

We accept bank transfers (direct deposit), credit cards (Visa/MasterCard online with a processing fee), and cash for in-person bookings at our Kathmandu office.

What if I need to cancel my trip?

Cancellations must be submitted in writing. Cancellation fees apply based on how close your cancellation is to the departure date. For most tours, this can range from forfeiture of your deposit to 100% of the trip cost. Specific terms for Bhutan packages differ. Please refer to our Terms & Conditions (Section 4) for full details.

Can I change my booking or transfer it to another person?

Yes, amendments and transfers are possible. An administration fee and potential additional costs (e.g., airfare differences) will apply. Transfers to another tour must commence within 12 months of your original departure date and are subject to specific fees based on notice period. Refer to our Terms & Conditions (Section 5).

Trip Preparation & Logistics

Do I need a visa for Nepal?

Yes, most nationalities require a visa for Nepal. You can generally obtain a Visa on Arrival at Tribhuvan International Airport (Kathmandu) or from Nepali diplomatic missions abroad prior to your travel. Ensure your passport is valid for at least six months beyond your return date.

What kind of physical fitness is required for trekking?

Our treks vary in difficulty. While some are suitable for beginners, others require a high level of physical fitness and prior trekking experience. We provide trip grading details (1-10) for each itinerary. We strongly recommend following our pre-departure fitness recommendations.

Do I need to get a medical check-up before my trip?

Depending on your trip’s grading and any pre-existing medical conditions, you may be required to submit a medical questionnaire, sometimes completed by your doctor. This is particularly important for higher-graded treks or if you are 70 years of age or above. Full details are in our Terms & Conditions (Section 6 & 7).

What kind of equipment do I need to bring?

A comprehensive gear list will be provided in your Pre-Departure Kit once your booking is confirmed. This typically includes items like appropriate clothing layers, sturdy hiking boots, a sleeping bag, a down jacket, a daypack, and personal toiletries.

What is included in the trip price?

Our trip prices typically include airport transfers, accommodation, most meals (as specified in your itinerary), experienced local guides, porters (with a weight limit), necessary permits, first aid, and staff costs. Please check the Inclusions section on your specific trip itinerary for exact details.

What is NOT included in the trip price?

Exclusions generally include international flights, Nepal visa fees, travel insurance, personal trekking equipment, personal expenses (laundry, phone calls, drinks, snacks), tips for staff, and emergency evacuation costs. For a complete list, refer to the Exclusions section on your trip itinerary or our Terms & Conditions (Section 2.3).

Safety & Support

Is travel insurance mandatory?

Yes, comprehensive travel insurance is mandatory for all participants. Your policy must cover emergency medical expenses, emergency evacuation (including helicopter rescue), repatriation, trip cancellation/curtailment, personal liability, and loss of baggage. You will need to provide proof of insurance prior to departure. Please see our dedicated Travel Insurance page for more information.

What happens if there's an emergency during the trek?

Our guides are highly trained in wilderness first aid and emergency procedures. In case of a serious medical emergency, our first priority is to arrange safe evacuation to the nearest medical facility, which may involve a helicopter. All emergency and evacuation costs are your responsibility, covered by your mandatory travel insurance.

Who will be my guide? Are they experienced?

All Good Karma Trekking guides are experienced, licensed by the Nepali government, and proficient in English. They undergo regular training in first aid, high-altitude trekking, and responsible tourism practices. Your safety and enjoyment are their top priority.

What if I have a complaint during my trip?

If you have a problem, please immediately inform your tour leader or the relevant local supplier (e.g., hotelier). If the issue isn’t resolved, contact our GKT consultant via email or phone. For unresolved complaints after your return, please follow up in writing within 30 days. Full details are in our Terms & Conditions (Section 9).
